Event ROI: How to Measure It

What is event ROI?

Event ROI (return on investment) compares what an event returned with what it cost. The formula is simple: event ROI = (return - cost) / cost x 100. An event that cost $50,000 and returned $75,000 has an ROI of 50%.

The hard part is not the arithmetic but agreeing what counts as return, and collecting the data to prove it. Ticket revenue is easy to count; pipeline from leads, deals from meetings and renewals from members are not, unless the event was set up to record them. This guide covers what to count, the metrics for each audience, and how to capture them during the event rather than reconstructing them afterwards.

The event ROI formula

Event ROI = (total return - total cost) / total cost x 100. A positive result means the event returned more than it cost; zero means it broke even.

Use the same costs and the same definition of return every year, so events can be compared with each other and with other marketing channels. Where a return cannot be counted in money - satisfaction, brand awareness - report it beside the ROI figure rather than inventing a value for it.

What to count as cost

Count everything the event needed, including the costs that sit in other budgets:

  • Venue and catering

Room hire, food and drink, furniture, power and Wi-Fi.

  • Production

AV, staging, streaming for hybrid sessions, signage and printing.

  • Technology

Registration, the event app, check-in, badges and printers, lead retrieval and matchmaking.

  • People

Staff time, temporary staff, speakers' fees and travel.

  • Marketing

Advertising, email and promotion that drove registrations.

What to count as return

Return depends on why the event exists. Count the ones that match the goal you set when planning, and set up the event to record them:

  • Revenue

Tickets, booth sales and sponsorship, net of payment fees.

    Zero-commission ticketing
  • Pipeline and deals

Leads captured, their qualification, and the opportunities and deals that follow in your CRM.

    Lead retrieval app
  • Meetings

One-to-one meetings booked and held between buyers, sellers and partners - often the reason a business attends.

    Business matchmaking
  • Retention and renewals

For associations and customer events: members who renew and customers who stay after attending.

  • Cost savings

Work the event replaced, such as sales travel to meet the same customers one by one.

Event ROI metrics by audience

An event has several investors, and each measures its return differently. Report to each of them in their own terms.

  • Organizers

Registrations against target, attendance rate, revenue, cost per attendee and satisfaction scores.

  • Exhibitors

Leads scanned, leads qualified as hot, meetings held and the pipeline that followed.

    Lead capture app
  • Sponsors

Visibility delivered: sessions attended, app impressions, booth visits and leads from sponsored activities.

    Event sponsorship
  • Attendees

Sessions attended, people met and whether they would come again - which drives next year's revenue.

    Event survey software

How to collect the data

Most ROI reports fail because the data was never captured. Decide before the event what each number comes from:

  1. Registration

Ticket revenue, registrations by source and the questions that segment attendees.

    Event registration software
  2. Check-in and session tracking

Who actually came, and which sessions they attended, scanned at the door and at each room.

    Attendee check-in app
  3. Lead retrieval

Exhibitors scan badges, score and qualify each lead and add notes, so leads arrive in the CRM ready to work.

  4. CRM integration

Send attendees and leads to your CRM, so revenue can be traced back to the event months later.

    Salesforce integration
  5. Surveys

A short survey after the event for satisfaction and intent to return.

How to improve event ROI

Return goes up when more of the right people meet, and cost goes down when fewer tasks are done by hand:

  • Make meetings happen

AI matchmaking and scheduled meetings turn attendance into conversations that lead to deals.

    AI event platform
  • Give exhibitors better leads

Qualified leads with notes are worth more than a list of badge scans, and exhibitors who see results rebook.

  • Cut ticketing fees

Per-ticket commissions come straight out of revenue.

    0% commission ticketing
  • Speed up check-in

Self-service kiosks and on-demand badges need fewer staff than pre-printed badges sorted by hand.

    Check-in kiosks
  • Reuse what works

Clone the event setup for the next edition instead of building it again.

FAQ

Event ROI: How to Measure It: common questions

What is event ROI?

Event ROI (return on investment) compares what an event returned - revenue, pipeline, deals, renewals or savings - with what it cost, as a percentage: (return - cost) / cost x 100.

How do you calculate event ROI?

Add up every cost of the event and every return you can count in money, subtract the cost from the return, divide by the cost and multiply by 100. An event costing $50,000 that returned $75,000 has an ROI of 50%.

What metrics measure event success?

Registrations and attendance rate, revenue and cost per attendee, sessions attended, leads captured and qualified, meetings held, pipeline and deals in the CRM, sponsor visibility, and attendee satisfaction from the post-event survey.

How do exhibitors measure trade show ROI?

By the leads they capture and qualify, the meetings they hold and the pipeline and deals that follow, against the cost of the booth, staff and travel. A lead retrieval app with scoring and CRM export makes that traceable.

How do you measure returns that are not revenue?

Report them beside the ROI figure rather than converting them to money: satisfaction and intent to return from surveys, session attendance, meetings held and social reach.

How can I improve event ROI?

Raise the return by making the right meetings happen and giving exhibitors qualified leads, and lower the cost with zero-commission ticketing, self-service check-in and reusing the event setup for the next edition.
