Exhibitor ROI Reports That Win Sponsor Renewals

How do you show exhibitors and sponsors their ROI so they renew?

Sponsors and exhibitors renew when they can point to a result. So send each of them a report that counts what they got: leads captured, booth scans, session attendance and the people they met. Send it within a week of the event, while the numbers still feel fresh.

This guide lists the measures that matter, shows which ones Eventdex's pages say it can report, gives a one-page report template and sets out a renewal timeline.

For measuring return on the event itself, see event ROI and trade show ROI. This guide is about the exhibitor and sponsor side.

Live stats and post-event analytics for event sponsors in Eventdex

What exhibitors and sponsors want to see

Exhibitors judge a show by leads. Sponsors judge it by exposure and engagement. Report both, because many companies are both.

What Eventdex does not do

Eventdex's pages do not describe a calculated return on investment figure, a promise of leads or a sales attribution tool. The report gives counts. Sponsors compare those with their own cost and what they later close. Do not claim more than the counts show.

Build the report in six steps

Start planning the report before the event, not after.

  1. Agree the measures before they sign

Tell each exhibitor and sponsor which numbers you will send. This also tells you which to collect.

  2. Turn on the tracking

Make sure badges are scanned at the booth and at session doors, and that booth staff have lead retrieval licenses.

  3. Share the live numbers

During the event, tell sponsors how the booth or session is doing, so they can adjust while there is time.

  4. Export after the event

Pull the exhibitor scan report, the booths visited and the sponsor report.

  5. Write one page per company

Use the template below. Keep it to the facts and one improvement for next time.

  6. Send it within a week

Ask for a renewal call in the same message.

A one-page report to copy

Fill in the numbers from your own exports. Leave out lines you cannot support.

FAQ

Exhibitor ROI Reports That Win Sponsor Renewals: common questions

How do organizers show exhibitors their ROI?

By sending a short report after the event with the counts the exhibitor cares about: leads captured, qualified leads, booth visits and meetings held, along with the lead export. Agree the measures before the event.

What should a sponsor report include?

Exposure and engagement: placements delivered, session attendance, booth visits, any game or survey participation and leads where the package included them.

What does Eventdex report to sponsors and exhibitors?

Its pages describe live attendee stats and a post-event report for sponsors, real-time booth metrics in the exhibitor dashboard, an exhibitor scan report and booths visited per attendee for organizers, and lead scoring with CSV or CRM export.

Does Eventdex calculate an ROI percentage?

Eventdex's pages do not describe one. It supplies counts. Sponsors set them against their own cost and what they later sell.

When should the report go out?

Within a week of the event, so that the experience is still fresh. Ask for a renewal conversation in the same message.

What if the numbers are weak?

Send them anyway, with one clear change for next year. A sponsor who sees the problem named is more likely to give you another chance than one who hears nothing.
