RSVP Wording
What should RSVP wording say?
Good RSVP wording does three jobs. It asks for a reply, gives a date to reply by, and says how. Everything else is tone.
This guide is for hosts. Below are copy-ready lines for formal, casual, corporate and virtual events. Every line is a sample, and the text in [brackets] is a placeholder for your own details. If you are replying to an invitation rather than sending one, see how to RSVP.

The parts of a clear RSVP line
A reader should know what to do in five seconds. Include these parts.
The ask
"Please RSVP" or "Kindly reply". Use plain words.
The deadline
A real date, such as "by October 15". A deadline makes people act.
The method
A link, an email, a phone number or a reply card. Offer one main way.
The extras
Ask about dietary needs, guest names or access needs only if you will use the answers.
Wording by type of event
Match the wording to the event. These samples show the range.
| Event type | Sample line |
|---|---|
| Formal | The favor of a reply is requested by [date]. |
| Casual | Let us know if you can make it by [date]. |
| Corporate | Please register by [date] to confirm your place. |
| Virtual | Please RSVP by [date] to receive your joining link. |
| Regrets only | Regrets only, to [name] at [contact]. |

Pick the block that fits and fill the brackets.
Sample RSVP wording (edit before use)
FORMAL Kindly reply by [date] to [name] at [email or phone]. CASUAL Can you make it? Tell us by [date]: [link or contact]. CORPORATE Space is limited. Please RSVP by [date] at [link] so we can confirm your place. VIRTUAL Please RSVP by [date]. We will send the joining link and a reminder to the address you give. WITH GUESTS Please tell us the names of everyone in your party when you reply. WITH MEALS Please note any dietary needs when you RSVP. WITH A DEADLINE We need final numbers on [date], so please reply by then.
How to set the RSVP deadline
Set the date before the day you need the final count. Leave time to chase people.
A deadline that is too tight gets ignored. One that is too far out leaves you guessing. Pick a date that lets you give a number to your venue or caterer, with a few days to spare.
Which contact option to offer
Fewer choices mean fewer missed replies.
A reply link or form
Best when you need names, meals or ticket choices in one place.
RSVP form templateAn email address
Simple for small groups. You will need to log each reply yourself.
A phone number
Good for formal events and older guests. Note answers as you take them.
A reminder that gets answers
Send one reminder a few days before the deadline to people who have not replied.
Sample reminder (edit before use)
Hi [Name], We have not heard from you yet about [event name] on [date]. Could you let us know by [deadline]? You can reply here: [link]. Thank you, [Host name]

How do I word a formal RSVP?
Use a short, polite line such as "The favor of a reply is requested by [date]." Add the name and contact of the person to reply to.
