What RSVP Means

What does RSVP mean?

RSVP stands for the French phrase "répondez s'il vous plaît", which means "please reply". When an invitation says RSVP, the host is asking you to say whether you will attend, usually by a set date, so they can plan numbers for food, seating and space. You reply either way, yes or no.

For business events, an RSVP works like a free registration. Instead of selling tickets, you invite people, collect their yes or no along with a few details, send reminders, and check them in against the list on the day. This guide covers the meaning and common RSVP wording, how to reply, and then how to collect and manage RSVPs online, with an invitation template and ways to reduce no-shows.

RSVP meaning and common wording

RSVP is used as a noun ("send your RSVP"), as a verb ("please RSVP by Friday") and on its own at the bottom of an invitation. "Please RSVP" repeats the "please", but it is widely used and understood.

Common RSVP wording and what it means
WordingWhat it meansWhat the guest should do

RSVP by [date]Please reply before the deadlineReply before that date, even if the answer is no

How to reply to an RSVP

Reply by the date given, using the method on the invitation: the link, the card, an email address or a phone number. If you are attending, confirm who is coming, including any guest, and answer the questions asked, such as meal choice or dietary needs.

If you cannot attend, a short reply is enough: "Thank you for the invitation. Unfortunately I am unable to attend, and I hope it goes well." If your plans change after you have said yes, tell the host as soon as you can, so your place can go to someone else.

How to collect RSVPs for a business event

For a customer dinner, product launch, member event or corporate reception, RSVPs are a process rather than a reply card:

  1. Build the guest list

Everyone invited, with their email, company and any category such as VIP, speaker, member or customer, kept in one list rather than several spreadsheets.

  2. Decide open or invite-only

An open event can share a public link. An invite-only event needs a private link, or a check that only invited people can respond.

  3. Set the deadline

Work back from when the venue and caterer need final numbers, and leave guests a couple of weeks to reply.

  4. Create the RSVP form

Name, email, attending yes or no, a guest name if plus-ones are allowed, and only the questions you will act on.

    Registration form fields
  5. Send the invitation

Personal where you can, with the date, time, place, the reason to come and the RSVP link near the top.

  6. Remind people who have not replied

One reminder about a week before the deadline, and a last call shortly before it closes.

  7. Confirm and manage the waitlist

Everyone who says yes gets a confirmation with calendar details and a check-in QR code. If you reach capacity, keep a waitlist and move people up as others decline.

  8. Check in against the list

On the day, check guests in from the RSVP list, so you know who came and can learn your own show rate.

What an RSVP website or tool should do

An RSVP website is a page where guests reply online, with a tool behind it that keeps the list. Email replies and a spreadsheet work for a dinner of twenty. Beyond that, look for:

  • A branded RSVP page

Your event name, date, details and logo, with the form on the same page, working on a phone.

  • Questions you choose

Attendance, plus-ones, meal choice, dietary and accessibility needs, with required fields marked.

  • Invite-only access

A private link, or a check that the person replying is on the invite list.

  • Capacity and a waitlist

A limit on places, and a waitlist that fills the gap when someone declines.

  • Invitations and reminders

Email invitations and scheduled reminders sent from the same list as the replies.

  • Check-in from the same list

QR codes in the confirmation and a check-in app, so the RSVP list becomes the door list.

RSVP invitation and reminder templates

Adapt these for a business event. Keep the RSVP link near the top of the email, where people see it before they decide.

How to reduce RSVP no-shows

With a free RSVP nothing has been paid, so plans change more easily. Measure your own show rate from past check-in data rather than relying on a rule of thumb, then:

  • Confirm a week out

Ask guests to confirm they are still coming, and release the places of those who are not.

  • Send a calendar invite

A calendar entry is harder to forget than an email.

  • Send a know-before-you-go email

The day before, with the time, address, parking and the check-in QR code.

  • Use the waitlist early

Move waitlisted guests up as soon as someone declines, not the day before.

  • Plan numbers on expected attendance

If past events show a predictable share of no-shows, set catering on expected attendance rather than RSVPs alone, within what the venue allows.

Managing RSVPs and waitlists in Eventdex

In Eventdex, an RSVP is a registration for a free ticket, so the RSVP list, the guest list and the check-in list are the same list. From the Eventdex help center and product pages:

  • Free and private tickets

Set a ticket's pay type to Free, or make it private so only people with the link can reply.

    Event registration software
  • Waitlists

Turn on Allow Wait List for a ticket. Waitlisted guests show as Wait List under RSVP on the Attendees screen, where you approve or cancel each one; approved guests receive an order confirmation email.

  • Invitation lists

Import invite lists, or fetch attendees from past events, into Invitations/Membership, then send the invitation as an email campaign.

    Guest list management
  • Scheduled reminders

Schedule a campaign for a date, or a number of days before the event, to all registrants or a filtered group.

  • Gala invitations

Branded invitations with RSVPs that update in real time, alongside table and seating plans.

    Gala dinner software
  • Check-in from the RSVP list

QR check-in on phones and tablets, with check-in statistics that show who came and who did not.

FAQ

What RSVP Means: common questions

What does RSVP stand for?

Répondez s'il vous plaît, French for "please reply". It asks guests to tell the host whether they will attend.

Do you have to reply to an RSVP if you are not going?

Yes. RSVP asks for a reply either way, so the host can plan numbers. The exception is "regrets only", where you reply only if you cannot come.

What does "regrets only" mean?

Reply only if you cannot attend. If the host does not hear from you, they will count you as coming.

What is an RSVP website?

A page where guests reply to an invitation online, with a tool behind it that keeps the list, sends reminders, manages a waitlist and, for business events, checks guests in on the day.

How do I track RSVPs for an event?

Collect replies through one online form rather than email, so every response lands in a single list showing who said yes, who said no and who has not replied. Then remind the non-responders and check guests in against the same list.

What is the difference between an RSVP and a registration?

An RSVP is a reply to an invitation and is usually free; a registration often includes a ticket purchase. Many event platforms treat an RSVP as a registration for a free ticket.
