Hybrid Event Management: Roles and Checklist

What does hybrid event management involve?

Hybrid event management is running one event for two audiences at the same time: people in the room and people online. It is more than an in-person event with a camera. The online audience needs its own experience, schedule and staff, and the whole thing has to be tied together by a single plan.

This guide covers the responsibilities, the roles you need on the team, what changes in the run of show, a technology checklist and how to measure both audiences. It says where Eventdex helps and where it does not.

For definitions and formats, see the guides on what a hybrid event is and hybrid versus virtual events.

What a hybrid event manager is responsible for

The job is the in-person event manager's, plus a second audience. These are the areas that need an owner.

  • Strategy and format

Decide what each audience gets: the same sessions, adapted sessions or separate content. Decide what success looks like for each.

  • Registration and ticketing

One registration flow that tells in-person and virtual attendees apart, with the right tickets and information for each.

  • Content and programme

A schedule that works for both, with sessions marked online or onsite where they differ.

  • Venue and production

Cameras, sound, lighting and stage so that remote viewers see and hear well.

  • Online experience

Live streaming, chat, questions, polls and networking for people who are not in the room.

  • Communications

Messages before, during and after, tailored to each audience.

  • Risk and contingency

Backup for internet, power, streaming and speakers who cannot travel.

  • Data and reporting

Attendance, engagement and leads for both audiences, kept in one record.

Team roles

Scale the team to the event. One person may hold several roles at a small event, but each role needs a named owner.

Run-of-show considerations

A hybrid run of show has two audiences to time. Build it from the online side as well as the room.

  • Two columns for two audiences

For each segment, note what happens in the room and what happens online. They may differ: breaks, for example, need online content too.

  • Allow for delay

Streams lag behind the room. Plan questions from online attendees with that in mind.

  • Plan the handoffs

Moments when the host passes to a remote speaker, or from a session to a break, are where hybrid events stumble. Rehearse them.

  • Include the online host

Give the virtual host cues for taking questions and reading chat.

  • Build in rehearsal

Test remote speakers and the stream end to end before the day.

Technology checklist

Check each item with the people who will use it, not just on paper.

What Eventdex covers, and what it does not

These points come from Eventdex's hybrid event platform and services pages.

  • One platform for both audiences

The platform runs in-person and virtual sessions in one programme, with planning and registration managed in one place, including ticketing for both audiences.

    Hybrid event platform
  • Sessions split by online or onsite

Sessions can be created for registrants who are online or onsite, so neither group is confused about where to be.

  • Live streaming and recordings

In-person sessions can be streamed live to virtual attendees and recorded for people who missed them. The pages list integrations with MUX, StreamYard, Restream and Zoom.

  • Onsite check-in and badges

QR check-in, self-service kiosks and badge printing for the venue.

  • Setup and training

The pricing page promises full setup and on-demand training from the Eventdex team.

    Hybrid event services
  • Not listed

Eventdex's pages do not list production services such as venue production, stage crew or camera crew. Ask in a demo what the team can and cannot do.

Measuring a hybrid event

Decide the measures before the event and apply them to each audience, so the two are compared fairly. Not every measure is the same for both: a badge scan in the room is not the same act as a session view online.

FAQ

Hybrid Event Management: Roles and Checklist: common questions

What is hybrid event management?

It is planning and running one event for an in-person audience and an online audience at once: registration, programme, production, engagement, communications and reporting for both.

How is it different from managing an in-person event?

You add a second audience and the production and platform work that serves it. The online audience needs its own host, tests and measures, not just a camera at the back of the room.

Who do I need on the team?

A hybrid event manager, a producer, a technical director, a virtual host and support for registration and speakers. A small event can combine roles, but each still needs a named owner.

Can Eventdex manage a hybrid event?

Eventdex's hybrid pages describe registration for both audiences, sessions split by online or onsite, live streaming and recordings, onsite check-in and shared reporting. They do not list on-site production crews.

Do I need a hybrid event agency?

It depends on how much production you want to outsource. Eventdex is a platform with setup and training rather than a production agency; see the hybrid event agency guide to compare.

How do I measure a hybrid event?

Set measures for each audience before the event: registration, attendance, engagement, content views, feedback and business outcomes. Compare like with like rather than adding raw numbers together.
