Event Registration Platform Features
Which features should an event registration platform have?
An event registration platform is the software that collects sign-ups for an event, takes payment where there is a charge, and gives you a clean attendee list to work from afterward. Platforms look alike in a demo and differ in the details, such as how forms branch, how payments settle, what happens at the door and what you can export.
This guide is a buyer's list. It sets out the features worth comparing, separates the must-haves from the nice-to-haves, gives you a scorecard to fill in for each vendor, and lists questions to ask any of them. Use it to write your requirements before you book a single demo.

Start with your event, not the feature list
Every platform has a long feature list. Most of it will not matter to your event. Before you compare anything, write down four facts: how many people you expect, whether any of them pay, how many different kinds of attendee you have, and what must happen on the day, such as scanning tickets or printing badges.
A single free webinar needs a simple form and a confirmation email. A paid conference with members, speakers, sponsors and workshops needs different paths for each, several ticket types, payment handling and check-in. A trade show adds exhibitors and booth sales. The feature list you build from your answers is the one to score vendors against.
When you have it, check which features are required to run the event at all and which would only be pleasant to have. The table later in this guide separates them. If you are new to the form itself, start with the guide to the event registration form.
The features to compare
These are the areas where platforms most often differ. Ask for each one to be shown, not described.
Forms and registration paths
Can different attendee types see different questions and ticket choices? Can people pick sessions at registration? Can you add custom questions, make fields required and change them later?
Ticket types
Free, paid, early, group, member, multi-day and donation options, each with its own price, quantity and sale dates.
Payments and refunds
Which payment gateways it connects to, whether money reaches your own account, which currencies it supports, and whether you can refund and partially refund from the registration record.
Promo codes and discounts
Codes for sponsors, speakers and members, with limits and end dates. If your event depends on them, ask for a demonstration.
Waitlists and capacity
What happens when a ticket type or the whole event sells out, and how released places are offered.
Confirmation and reminder emails
Confirmations with the ticket, reminders before the event and updates when details change, with text you can edit.
Check-in
Scanning tickets on a phone or tablet, self check-in, and whether it works when the venue's internet is weak.
Badges
Designing badges, printing on demand at the desk, and the printers and label sizes supported.
Reports and exports
Live registration numbers, revenue by ticket type, payment status and an export of every field in the form.
Integrations
A connection to your CRM and the tools you already use, so attendee data does not have to be retyped.
Event page or website builder
A branded page where people register, which you can edit without a developer.
Support and training
Who helps you before and during the event, how to reach them, and what training is included. Ask what is promised in writing.
Must-have or nice-to-have?
Your answers will differ from this table, but it is a sound starting point. Mark each row for your own event before you meet a vendor.
| Feature | Must-have when | Nice-to-have when |
|---|---|---|
| Custom registration questions | You need session choices, dietary needs or role-based data | A name and email are enough |
| Separate registration paths | You have several attendee types with different tickets | Everyone registers the same way |
| Paid tickets and payments | Any attendee pays | The event is free |
| Refunds and partial refunds | You sell tickets, workshops or memberships | The event is free |
| Promo codes | Sponsors, members or speakers get discounts | One price for everyone |
| Waitlist | Places are limited and demand is likely to exceed them | You expect to have spare capacity |
| QR check-in | You need a fast, accurate door count | A staff member ticks a list |
| Badge printing | Badges carry names, roles or session access | A pre-printed name tag is acceptable |
| Offline check-in | The venue's wifi is poor or crowded | The venue has reliable internet |
| CRM integration | Sales or membership teams follow up after the event | A spreadsheet export is enough |
| Website builder | You have no web team to build a page | A web team will build the page elsewhere |
| Live reports and dashboards | You report registration progress to a board or sponsor | You review numbers after the event |
A scorecard to compare vendors
Copy this scorecard once for each vendor. Score each line from 0 to 5 after you have seen the feature in a demonstration or in a test event, not from a brochure.

Questions to ask any vendor
Put these to every vendor in the same words so the answers compare. Ask for the answers in writing.
What is the total cost for an event like mine?
Give your attendee count and ticket price. Ask for platform fees, payment processing, add-on modules and any per-attendee charges.
Which payment gateways do you connect to, and where does the money go?
You want payments to reach your own account, and you want to know how and when refunds are handled.
Can you show my registration paths in a test event?
Describe your hardest attendee type and ask to see it built, not described.
What happens at the door if the internet fails?
Ask whether check-in keeps working and how the data syncs afterward.
What can I export, and in what format?
Ask for every registration field, payment status and check-in time, and whether the export reaches your CRM.
How do I change a form after people have registered?
Real events change. Ask what happens to existing registrations when you add a question or ticket type.
How is attendee data protected, and who owns it?
Ask about payment security, access controls and what happens to the data when the contract ends.
What support do I get, and what is in the contract?
Do not rely on a promise in a sales call. Ask for the support terms in the agreement.
Mistakes buyers make when choosing a platform
Most poor choices come from the same few habits. Avoid these and the comparison gets easier.
Buying for the demo, not the event
A polished demo shows the easy path. Ask to see your hardest case, such as a member who gets a discount, books a workshop and pays by invoice.
Comparing headline prices
One vendor charges per ticket, another per event, another per attendee. Compare the written total for your own numbers, including payment processing.
Ignoring the door
Registration feels finished when the form works, but the day itself depends on check-in, badges and what happens when the internet drops. Score those features as seriously as the form.
Skipping the export test
Your data is only useful if you can get it out. Run a test registration and export it before you commit.
Letting one person decide alone
Finance cares about payouts and refunds, the event team about forms and check-in, and sales about the CRM. Have each score the sheet.
Leaving it to the last month
Setting up forms, payments and badges takes time, and a gateway may need approval. Choose the platform well before registration opens.

FAQ
Event Registration Platform Features: common questions
What is an event registration platform?
It is software that collects sign-ups for an event, takes payment where needed, confirms each person and keeps the attendee list. Many also handle check-in, badges and reports.
Which features are essential?
It depends on the event. A free event may only need a form, a confirmation email and an export. A paid event needs ticket types, payments and refunds. Events with a door need check-in, and often badges.
Do I need a platform for a small event?
Not always. A simple form can work for a small, free gathering. A platform pays off when you take payments, limit places, run several attendee types or need check-in and reports.
Can I move registration data to another system later?
Ask before you sign. A platform should let you export every field, payment record and check-in time. Test the export during a demo.
How do I compare platforms fairly?
Write your requirements first, ask each vendor the same questions, see each feature in a demo and score them on the same sheet. Compare the total cost for your own event, not a headline price.
