Virtual Event Sponsorship
How do you get sponsors for a virtual event?
To get sponsors for a virtual event, sell what only a virtual event can offer: logo placement in the lobby, a virtual booth, a sponsored session, branded games and a list of leads. Then say how you will report results, because online sponsors judge the event by what they can count.
This guide lists the sponsorship ideas that work online, shows a three-level package outline, gives a step-by-step plan for finding sponsors and includes an outreach email to copy.
For a general grounding in packages and pricing logic, see event sponsorship packages. For types of sponsor in general, see types of event sponsorship.

Virtual conference sponsorship ideas
A virtual event has no hall to hang banners in, so the value moves to attention and data. These are the assets to offer.

How to get sponsors for a virtual event: seven steps
Start eight to twelve weeks before the event if you can. Earlier gives sponsors time to approve spend.
Define the audience
Who attends, from which industries and in what job roles? Sponsors buy access to an audience, so describe it with your own registration data.
List what you can deliver
Choose the assets from the ideas above that your platform supports. Do not promise a feature you have not confirmed.
Build the package outline
Three levels, with a clear difference between them. Add one or two items sponsors can buy on their own.
Make a target list
Start with past sponsors, then exhibitors, vendors that sell to your audience and companies that sponsor similar events.
Send a short outreach note
Use the template below, with a one-page prospectus attached.
Agree the reporting
Tell each sponsor what they will receive afterwards: leads, booth visits and a report. Do this before they sign.
Set artwork deadlines
Logos, banners and videos are needed before launch. Put the dates in the agreement.
An outreach email to copy
Keep it short. Replace the bracketed items, and attach your prospectus.

Show sponsors results during and after the event
Online sponsors renew when they can see what happened. Eventdex's sponsorship page describes live attendee stats and a post-event report for sponsors, and booth metrics in the exhibitor dashboard. See the sponsor ROI guide for what to include.
Before the event
Share registration counts and a preview of each sponsor's placement.
During the event
Check booth visits and session attendance and tell sponsors what they are, so they can act while the event is live.
After the event
Send the report within a week, with leads, visits and a short note on what you would improve.

FAQ
Virtual Event Sponsorship: common questions
How do I get sponsors for a virtual event?
Describe your audience with your registration data, offer assets that suit an online event (lobby logos, a virtual booth, a session, a game), contact past sponsors and companies that sell to your audience, and promise a report on results.
Why would a company sponsor a virtual event?
To reach a defined audience, collect leads and build awareness without the cost of travel and a physical booth. They need to be able to see the visits and leads they receive.
How much should virtual sponsorship cost?
Eventdex does not publish sponsor prices and neither does this guide. Base your pricing on your audience, the assets offered and what similar events charge in your market.
Do virtual sponsors get leads?
They can if you set it up. Eventdex's pages describe virtual booths, scheduled meetings and a lead capture app. Agree with each sponsor which leads and what data they will receive.
When should I start looking for sponsors?
Eight to twelve weeks before the event is a sensible target, and earlier for a large conference. Sponsors need time to approve spend and send artwork.
Does this work for hybrid events?
Yes. A hybrid sponsorship can combine onsite items such as badges with online items such as a booth and webinar. Make clear which benefits reach which audience.
