What Does Run of Show Mean?
What does run of show mean at an event?
A run of show is the minute-by-minute running order of an event. It lists each segment in order, with its start time, length, location, the person responsible and the cues the crew needs. It is often shortened to ROS.
This guide is about events: conferences, galas, trade shows, webinars and live productions. The phrase "run of the show" is also an idiom in television and film, where it can mean a whole series or the full length of a performance. That is not what is covered here.
Below you will find a plain definition, what goes into one, who reads it and how it differs from an agenda. For ready-made documents, see the run of show template and run of show examples guides.

Run of show: the plain definition
Run of show means the detailed script of an event, written for the team that delivers it. Each row is one segment, such as doors open, welcome, keynote, break or award.
The document says what happens, when, where and who is in charge. It also records the technical cues: when the music fades, which slide appears and when a microphone goes live.
The term comes from live production. At events it simply means the internal running order, kept to the minute where the event needs it.
Run of show
The full running order of the event, with times, owners and cues.
ROS
The usual short form. "Send me the ROS" means send the run of show.
Run of show document
The file itself: a table in a spreadsheet or word processor that the team shares.
Show caller
The person who works through the run of show on the day and calls each cue to the crew. Smaller events often do not need one.
Run of the show: the other meaning
"Run of the show" is also an idiom. In television it can mean every episode of a series, and in theater it can mean the full length of a production.
People searching for the event term often type "run of the show" by accident or shorthand. This guide uses "run of show" throughout, and it means the event running order.

What a run of show contains
Most run of show documents share the same columns. You can add or drop columns to suit the event.
| Column | What it answers | Example entry |
|---|---|---|
| Time | When does this start? | 09:00 |
| Length | How long does it run? | 40 min |
| Segment | What is happening? | Opening keynote |
| Location | Where is it? | Main stage |
| Owner | Who is responsible? | Stage manager |
| Cues | What does the crew do? | Mic live, slides on, house lights down |
| Notes | What should anyone remember? | Thank the title sponsor |
Who uses a run of show
The run of show is a working document for the people behind the event. It is not usually shown to attendees.
Producer or event manager
Owns the document and keeps its versions straight.
Stage manager or show caller
Works through it on the day and calls each change.
AV and lighting crew
Read the cue columns to know what to trigger and when.
Host and speakers
Use it to know when they are on, how long they have and who follows them.
Venue, catering and registration leads
Check the times that affect them, such as doors, meals and breaks.
How a run of show differs from an agenda
An agenda is for attendees. A run of show is for the team. They share the same sessions, but the run of show adds the detail behind them.
| Document | Reader | Detail |
|---|---|---|
| Agenda or event schedule | Attendees, speakers, sponsors | Sessions, times, rooms and speakers |
| Run of show | Producer, stage manager, crew, host | Every segment to the minute, with owners and cues |
| Production schedule | Venue and suppliers | Load-in, build, rehearsal and load-out across the days around the event |
A three-row example
Here is the idea in its smallest form. The times are invented for illustration. For longer examples, see the run of show examples guide.
| Time | Length | Segment | Owner | Cues |
|---|---|---|---|---|
| 08:50 | 10 min | Welcome | Host | Music fades, host mic live |
| 09:00 | 40 min | Opening keynote | Speaker | Lectern mic, slides from speaker laptop |
| 09:40 | 5 min | Questions | Host | Audience mics live, close on time |
Where Eventdex fits

Sessions carry a name, times, room, track and speaker. The schedule can be imported from a file or exported to XLS or CSV, which gives you a starting list for your run of show.
Conference management softwareChanges sent to attendees
Push notifications can go to chosen ticket types or tags, so a time change in your run of show can reach the people affected.
Event mobile appAudience questions
The live Q&A widget collects questions that the host can put to the speaker.

FAQ
What Does Run of Show Mean?: common questions
What does run of show mean?
Run of show means the detailed running order of an event: every segment in sequence, with its time, length, location, owner and technical cues. It is written for the team delivering the event, not for attendees.
What is a run of show for an event?
It is a table that lists each part of the event from crew call to load-out. The producer, stage manager and crew work from it on the day, so everyone knows what happens next.
What does ROS mean in events?
ROS is short for run of show. You will see it in emails and file names, for example "ROS v3" for the third version of the running order.
Is "run of the show" the same thing?
Not usually. "Run of the show" is a television and theater idiom for the whole span of a series or production. In event planning the term is "run of show", though people sometimes type it the other way.
Is a run of show the same as an agenda?
No. An agenda is the public timetable. A run of show adds crew calls, rehearsals, cues, owners and contingency plans that attendees never see.
Does a small event need a run of show?
A short version helps any event with more than one moving part. A small meeting may only need blocks of 15 minutes and a name next to each. Larger events with a stage, crew or livestream need more detail.
Can Eventdex produce a run of show?
Eventdex's pages describe a published attendee schedule, with import from a file and export to XLS or CSV. They do not describe a show-calling or cue sheet tool, so keep the run of show in your own spreadsheet or document.
