Product Launch Event
How do you plan a product launch event?
A product launch event introduces a new product to the people who matter to it: customers, prospects, partners, the press or your own staff. Unlike a conference, it has one message, and everything about the event should serve it. The venue, the demo, the speaker and the invitation list all exist to make the product understood and to start a next step.
This guide covers the formats to choose from, a countdown timeline, a run sheet to copy and the measures that show whether the launch worked. For the wider promotion around it, use your event marketing plan, and for the minute-by-minute detail, a run of show.

Start with the goal and the audience
A launch can aim at awareness, pipeline, customer adoption, partner buy-in or internal alignment, and the format follows from which. Write the goal and the one thing you want each person to do afterwards: sign up for a trial, book a demo, tell a colleague or place an order.
Then define the audience. A launch for customers is a different event from a launch for the press, even for the same product, and trying to serve both with one program serves neither well.
Product launch event formats
Choose by audience, budget and how much the product needs to be seen or touched.
| Format | Best for | Trade-off |
|---|---|---|
| In-person launch event | Products people need to see, touch or try; relationship-building | Limited by venue and travel; highest cost per attendee |
| Virtual launch (webinar or livestream) | Software, services and audiences in many places | Attention is harder to hold; no hands-on moment |
| Hybrid launch | Wide reach plus a core audience in the room | Two audiences to serve; needs a production plan for each |
| Customer-only preview | Existing customers who give feedback and referrals | Smaller reach, but high-quality conversations |
| Press or influencer briefing | Coverage and credibility from outside voices | You do not control the story; needs PR work, which Eventdex does not provide |
| Trade show or conference launch | Reaching a large relevant audience that is already gathered | Competing for attention with every other exhibitor |
| Roadshow | Customers in several cities | Repeats the cost and effort at each stop |
A product launch countdown timeline
The product date is usually fixed, so work back from it. Move each item earlier if approvals take time in your organization.
| When | What to do |
|---|---|
| 12 to 16 weeks before | Set the goal, audience and format; confirm the budget; book the venue or platform; choose a launch date |
| 10 to 12 weeks before | Agree the message; plan the demo; line up speakers; build the registration page |
| 8 to 10 weeks before | Open registration; send the first invitations; start the content for promotion |
| 4 to 6 weeks before | Send reminders; brief press, partners and customers; finalize the program |
| 2 weeks before | Rehearse the demo; confirm numbers; test registration, check-in and the stream if you have one |
| 1 week before | Final run sheet; send attendee reminders with logistics; brief everyone working on the day |
| Launch day | Run the show; capture photos, video, leads and questions |
| 1 to 2 days after | Send thank-you emails and recordings; pass leads to sales |
| 1 to 4 weeks after | Send the survey; measure results against the goal; report |
A product launch run sheet to copy
This runs for about 90 minutes and works in the room or online. Adjust the times to the demo, and write exact cues into your run of show before the day.

Measuring a product launch event
Decide the measures before the event and tie them to the goal. Compare them with your own targets rather than outside figures.
| Goal | What to measure | Where it comes from |
|---|---|---|
| Awareness | Registrations, attendance, recording views | Registration and check-in data; hosting statistics |
| Pipeline | Leads captured, demos or trials requested, deals influenced | Lead capture, CRM |
| Adoption | Customers who tried or adopted the product after the event | Product and CRM data |
| Partner buy-in | Partners attending and committing to a next step | Attendee list and follow-up |
| Feedback | Satisfaction and questions asked | Post-event survey and Q&A log |

FAQ
Product Launch Event: common questions
What is a product launch event?
An event held to introduce a new product to a chosen audience, such as customers, partners, press or staff. It has one message and a clear next step for attendees.
How far ahead should I plan a product launch event?
Twelve to sixteen weeks is a sensible aim for a full launch, with the venue or platform and the message settled first. Smaller or virtual launches can be planned in less time, but keep the order.
Can a product launch be virtual?
Yes. A webinar or livestream suits software and distributed audiences. Keep it shorter than an in-person launch, use polls and Q&A to hold attention, and send the recording the same day.
How do you measure whether a launch worked?
Measure against the goal you set: registrations and attendance for awareness, leads and demos for pipeline, adoption for customers, satisfaction from a survey. See the event KPIs guide for more.
Does Eventdex help with press and media?
No. Eventdex covers registration, check-in, the agenda, live sessions and event data. Press briefings, media lists and PR are done by your communications team or agency.
