Conference Planning Checklist

What goes on a conference planning checklist, and how do you plan a conference?

A conference is harder to plan than most events because it has so many moving parts running at once: a venue, a programme of sessions, speakers, sponsors, registration, catering and a day when all of it has to run to time. A checklist keeps those parts in order, and a timeline keeps them from all becoming urgent in the same week.

This guide shows how to plan a conference in phases, gives a checklist for each, and ends with a copy-ready template. It is written for a first-time organizer and works for a one-day members' meeting or a multi-day annual conference. For the general event version, see the event planning checklist.

How to plan a conference, step by step

Each step feeds the next. Do not skip the first two, because every later decision depends on knowing what the conference is for and who it is for.

  1. Set the purpose and the audience

Write one sentence on why the conference exists and who must attend for it to succeed. Choose the figures you will report afterwards.

  2. Fix the budget and the date

Set the budget with a contingency line, then choose the date against holidays and industry events that compete for your audience.

    Event budget guide
  3. Book the venue

Check capacity, breakout rooms, exhibit space, accessibility, Wi-Fi, catering rules and load-in times before you sign.

  4. Shape the programme

Choose the themes and session formats, then recruit speakers and set the agenda. Leave breaks and networking time in the timetable.

  5. Open registration and sell sponsorship

Publish the registration page with ticket types and dates, and offer sponsors and exhibitors what they get in return.

    Event registration form guide
  6. Promote the conference

Announce speakers as they confirm, send reminders to the people who started registering, and give partners material to share.

    Event marketing plan
  7. Prepare the onsite operation

Plan signage, staffing, check-in, AV and the run of show, and brief everyone before the doors open.

    Run of show template
  8. Run the days, then follow up

Keep to the schedule, collect feedback while people are still in the room, and send thanks, materials and a survey within days of closing.

The checklist by phase

Treat the times as a guide. A conference with international speakers or a large exhibition may need a longer lead; a small one may need less.

FAQ

Conference Planning Checklist: common questions

How far ahead should I start planning a conference?

Start as early as you can secure the venue and speakers, since both are booked well ahead. The size of the conference, the number of speakers and whether you have an exhibition decide how long you need.

What are the first steps in planning a conference?

Write down the purpose and the audience, agree the budget and the date, and form the planning team with named roles. Everything else, from venue to programme, follows from those decisions.

Who should be on a conference planning team?

At minimum, someone leading the whole plan, someone for the programme and speakers, someone for sponsors and exhibitors, someone for marketing and registration, and someone for venue and logistics. In a small team, one person holds several roles.

How is a conference checklist different from an event checklist?

A conference checklist adds the programme: the call for speakers, the agenda, session rooms and speaker briefings, as well as sponsors and exhibitors. The general event checklist covers the shared basics.

Does Eventdex have a conference planning checklist feature?

No. Eventdex does not hold your checklist. It provides the registration, agenda, event app, floor plan, check-in and badge tools that several lines on the checklist depend on.
