Association Event Planning
How do you plan events for an association and its members?
Association events differ from corporate ones in who they serve. Attendees are often members with different rights than non-members, the event may be a main way the association delivers value, and decisions are shared between staff, a board and volunteer committees.
This guide covers the planning pattern that comes from those differences: the events an association usually runs, who decides what, how to handle member and non-member pricing, a planning timeline, sponsors and exhibitors, and a checklist to copy. For general planning method, see the event planning process guide, and for hiring help, event planner services. In this guide, event management association means an association's own events, not a professional body for event managers.

The events associations usually run
Most associations run a mix of these. Each has a different audience, a different goal and a different owner.
| Event | Main purpose | Typical audience | Usually owned by |
|---|---|---|---|
| Annual meeting or conference | Education, networking, the association's business | Members, non-members, sponsors | Staff with a program committee |
| Chapter or regional meetings | Local connection | Members in an area | Chapter volunteers with staff help |
| Webinars and virtual sessions | Education that reaches members anywhere | Members, prospects | Education or program staff |
| Trade show or expo | Exhibitors meeting members | Members, exhibitors, buyers | Staff and an exhibitor committee |
| Awards dinner or gala | Recognition and fundraising | Members, guests, donors | Staff with a board or committee |
| Board and committee meetings | Governance | Directors and volunteers | Executive staff |
| Member socials | Belonging, recruitment | Members, guests | Membership staff or volunteers |
Who decides what
Settle decision rights early, in writing. Association events slow down when no one knows whether a venue, a price or a speaker needs board approval.
Board
Approves the event calendar, the budget and the pricing principles. It does not usually choose menus or session rooms.
Program committee
Shapes the content: themes, call for speakers, session selection. Give it a timetable and a scoring method so selection is fair.
Staff
Runs the contracts, registration, communications and logistics, and reports against the budget.
Event staffing guideVolunteers and chapters
Host local events, greet attendees and help onsite. Give each a written role, and a named staff contact.
Sponsors and exhibitors
Pay for access to members, so set out what they receive and who is their contact.
Member and non-member registration
Pricing is where association events are most different. Decide the rules before registration opens, because changing them after sales begin causes complaints.
Decide who counts as a member
Define active, lapsed, student and corporate members, and say how you will check membership at registration.
Set categories and deadlines
Write down the ticket types, such as member, non-member, student, speaker and exhibitor, and the early deadline for each. Eventdex describes early bird pricing by membership type or members versus non-members.
Eventdex for associations and nonprofitsOffer a path to join
Show non-members the cost of joining next to the cost of the non-member ticket, if that is part of your offer.
Handle exceptions
Decide how you will treat speakers, volunteers, board members and complimentary guests, and how they register.
Add optional extras
Workshops, dinners and tours can be separate choices at registration. Eventdex describes session selection and donations collected during registration.

A planning timeline for an annual meeting
Use this as a starting pattern and stretch or shorten it to your event. Association meetings often need a longer lead time than corporate events because of contracts, committees and calls for speakers.
| When | What happens |
|---|---|
| 12 months out | Board approves dates, location type and budget; sign the venue contract |
| 9 months out | Program committee sets themes; open sponsor and exhibitor sales; set registration categories |
| 7 months out | Call for speakers or abstracts opens; website and registration page live |
| 5 months out | Select sessions and speakers; open registration with early pricing |
| 3 months out | Publish the program; send speaker briefings; confirm catering and audiovisual |
| 6 weeks out | Early deadline passes; push to non-members and lapsed members; confirm volunteers |
| 2 weeks out | Final counts to venue; print or finalize badges; brief staff and volunteers |
| Event week | Check-in, sessions, sponsors, exhibitors; daily staff meeting |
| After | Survey attendees; report to the board; thank sponsors and volunteers; note changes for next year |
Sponsors, exhibitors and member value
Sponsorship often supports the event, and the members are what sponsors are paying to reach. Keep both sides in view.
Build sponsor packages from what you can deliver: a named session, an exhibit space, a place in the program, a mention in the app. Eventdex describes offering branding opportunities and sponsorships to associations, and exhibitor booths through its trade show tools.
Report back to sponsors after the event with what happened, using your own registration and engagement data. Do not promise results you cannot show.
Sponsor packages
List what each level includes, what it costs and what you will report afterward.

Give exhibitors floor plans, rules and move-in times early, and a way to book booths.
Trade show managementReports on member participation
Eventdex says associations can track and report on credits members earn from the events they attend. Its pages do not describe issuing certificates, so confirm that detail with Eventdex if you need it.
An association event checklist
Copy this into your planning document and change the dates and names.

FAQ
Association Event Planning: common questions
Where should association event planning start?
With the purpose and the audience: what the event must do for members, who decides, and what budget the board approves. Venue and date follow.
How should an association price member and non-member tickets?
Set the categories, the early deadlines and the rules for exceptions before registration opens. Eventdex describes early bird pricing by membership type or by members versus non-members.
How far ahead should an annual meeting be planned?
A year ahead is a common starting point for a large meeting, because of venue contracts, committees and calls for speakers. The timeline above is a pattern to adapt, not a rule.
How do you work with volunteers and chapters?
Give each a written role, a deadline and a named staff contact, and keep decisions that need approval in a short list that everyone has seen.
What does event management association mean?
People use it to mean the event side of an association, or a professional body for event managers. This guide is about the first: planning events for an association's own members.
